The best virtual data room starts with the one that tells you what it costs

Most virtual data room buying starts with a demo booking form and ends with a quote nobody can compare. So this page does the boring half first: it reads every provider's own pricing page and records what is printed there, including the ones that print nothing. Nine of the nineteen providers read here publish a monthly figure. The rest quote.

What a virtual data room costs when the provider prints a number, September 2026

Last updated

Nineteen virtual data room providers were read on one day at the pricing page their own site links to. Nine print a monthly figure a buyer can act on; nine route to a quote instead; one could not be read at all. The table below is the nine that publish, with the plan the figure buys and the billing basis it is printed on. The spread across the seven dollar-denominated plans runs from 140 to 399 a month, which is a factor of nearly three for products sold into the same deal.

Each figure is the cheapest monthly price the provider prints on its own pricing page for a plan that includes a data room, quoted in the currency the page prints and on the billing basis the page states. No currency is converted, and no monthly equivalent is derived from an annual total: a provider that prints an annual figure is shown on that basis, in its own column. Where a page offers a monthly and an annual toggle, the figure is the one the page loads with and the saving the page advertises is noted beside it. Providers that print no figure are listed with the reason their page gives rather than with an estimate, and providers whose page could not be read are separated from providers that publish nothing, because those are different facts, and a provider we could not reach at all is left off rather than listed against a link that does not resolve. Nothing here is a quote: a published starting price is the cheapest plan a provider will advertise, usually at the smallest storage and the shortest term it will sell.

“What a virtual data room costs when the provider prints a number, September 2026”, Virtual Data Room Compare, https://virtualdataroomcompare.com/ (updated 2026-09-11).

How this comparison was built

  1. Every provider in this list was read on 11 September 2026 through a real browser, at the pricing page its own site links to, honouring its robots.txt. Nothing here is taken from a review site, a directory, or another comparison page.
  2. The order is the order of the published price, cheapest first, in the currency each provider prints. No currency is converted and no monthly equivalent is computed from an annual figure: a price is shown on the basis its own page states it, and the billing column says which that is.
  3. A provider that prints no figure is listed with that fact and the reason its page gives, never with an estimate and never with a number lifted from somewhere else. One provider could not be read at all, and is recorded as unread rather than as publishing nothing. A twentieth, FirmRoom, is off this table completely: its robots.txt refuses our reader and its own pages answer 404 to us, so there is no page we could cite against its name and listing it would mean linking somewhere that does not resolve.
  4. A published starting price is the cheapest plan a provider will advertise for a data room. It is not a quote for your deal, and on several of these plans the data room is the top tier of a document sharing product rather than the whole product.

This site carries no affiliate links and takes no payment from any provider on this page. Three virtual data room affiliate programmes exist and none of them is open to a publisher in the market this site serves, so there is nothing to disclose beyond that: no link here earns us anything, and no provider paid to be on the list or to be near the top of it. If that changes, the paid row will say so in the row itself.

Common questions

What is the best virtual data room?

There is no single answer, and any page that gives you one without knowing your deal is selling something. What can be said from evidence is which providers will tell you what they charge: nine of the nineteen read for this site publish a monthly figure, from EUR 44 (Drooms Professional) to USD 399 (CapLinked Team), and ten either quote instead or could not be read. Start from the published floor for your shape of deal and make the quoted ones answer the same scope. (Drooms pricing, read 2026-09-11)

How much does a virtual data room cost?

Among the providers that publish, the cheapest plan containing a data room runs from EUR 44 a month (Drooms, billed annually) to USD 399 a month (CapLinked Team), with the seven dollar-denominated plans spread from USD 140 to USD 399. Those are advertised floors at the smallest storage and shortest term each provider sells, not quotes for a live deal. (CapLinked pricing, read 2026-09-11)

Which virtual data room providers publish their prices?

Drooms, Papermark, Digify, DocSend, ShareVault, Clinked, SecureDocs, Onehub and CapLinked each print a monthly figure on their own pricing page. Ansarada, DealRoom, Docully, EthosData, Firmex, Imprima, Datasite, Intralinks and SmartRoom print none. iDeals could not be read: its pricing page answered a bot challenge rather than the page. FirmRoom is left off this table entirely, because its robots.txt refuses our reader and its own pages answer 404 to us, so there is no URL we can honestly cite against its name.

Is a cheap virtual data room safe to use for a real deal?

Price is not the security question. The questions that matter are whether access is granular per party, whether there is an audit trail you can export, and whether the Q and A process is in the plan you are pricing rather than two tiers above it. Several of the cheapest published plans are document sharing products with a data room at the top of the ladder, which is a different product rather than a worse one.

Why does this comparison include providers with no price?

Because a category where nearly half the providers will not print a number is the most useful thing to know about it. Leaving them out would make the market look more transparent than it is, and each one is listed with the reason its own page gives for quoting instead.

Does this site take money from the providers listed?

No. There are no affiliate links, no sponsored placements and no paid rows. Three virtual data room referral programmes exist and none is open to a publisher in the market this site serves.
